the issue is prevalent on all androids: when using htc's mail to add hotmail (or sounds like any email), the synchronization is not quite right... if you have viewed or deleted an email, it is not reflected on the mail server and therefore the next synchronization you will be notified of "new mail" even though you have just read/deleted it.
everyone is blaming the fact it is a POP issue and the solution is to use Exchange or IMAP. there are MANY hits on google with supposed solution. however when i tried them out, i am still getting that annoying problem.
Use K9 mail. I have never had a phantom new mail with any of my non gmail email.

+1 to K9 mail
tried k9 for 5mins
it doesnt work very well with hotmail (according to the warnings) and i recall i had a problem with hotmail would put up captcha (the image verificaiton) and hinder k9's ability to get mail.
Go to your Hotmail account email option on your computer not your phone.
look for "POP and deleting downloaded messages"
There are 2 options,
Don't let another program delete messages from Hotmail. (If your other program is set to "delete messages from the server," we'll simply move them to a special POP folder. They won't be deleted.)
Do what my other program says-if it says to delete messages, then delete them.
Select the second one. It works for me. Your problem should go away.
For some reason Hotmail Exchange ActiveSync is not the true Exchange ActiveSync.
ah thanks. i recall they recently implemented that feature... that explains why my hero (which was working) also suddenly broke.
edit: it works. all fixed.
now i cant be any happier with my inspire (battery could always be better)

I have VZW TP2 and I use an exchange server to sync my email, contacts, calendars and tasks across my mobile phone, desktop and laptop.
For some reason, on this phone, it doesn't update certain things that I've done of my desktop or laptop for a while. I even manually go into active sync and click "sync now" and it doesn't update.
For example, if I'm on my desktop or laptop and I delete a message in my inbox, it won't update on my phone until it receives another message. Even if I click "send & recieve" in Outlook on my desktop/laptop and then manually click sync on my TP2, the email won't dissapear until another message is received. Also, today I deleted a calendar appointment on my laptop (which was for today) and even after many syncs on both my laptop outlook and on my TP2 via active sync/send recieve etc, the appointment is still showing up on the homepage screen and in my calender.
Anyone ideas?
I am having trouble with mine syncing as well. In Activesync, I get an error saying something about the server not being able to be reached. It may be an intermittent connection problem. It was working fine up until a few days ago. Also, make sure in your Schedule in Activesync is set to 'As Items Arrive'.
I had a problem with syncing then realized from some dumb reason the default option on off hours was manual sync and not "push", after making that change my issue stopped.
this is not a question of configurationi...
i have activesync set up for as items arrive in peak AND off peak. all days are checked, and for safe measure - peak time is from 12a to 11:59pm. so i'm covered there.
BUT i have the same delay issue. i can sent a test email from another email account on my deskto TO the exchange inbox on my device. i will watch it arrive almost instantly to the web portal of that same exchange inbox...but wait 10, 15, sometimes 20 minutes for the device's activesync to "wake up" and decide to sync on its own to retrieve that test message.
totally ridiculous.
yes, it is "push", but it's CLEARLY not instand (or even "immediate") push. certainly not comparable to a blackberry (which i despise and refuse to use).
so far, htc, verizon, and my hosted exchange company have been unable to offer a solution. i'm told, "a 5 to 10 minute delay is totally acceptable when using activesync exchange".
that is totally UNACCEPTABLE in the professional world.
i would go back to using goodlink (as i did with my old xv6800, befoe upgrading to the tp2), but it doesn't work well with touchflo 3d. and to be honest, what's the sense of using the tp2 if you can't enjoy the the new interface?
anyone have any suggestions? can this be fixed??????
The delay in syncing emails getting deleted is common. I don't know this for sure, but I'm pretty sure I read that receiving a new email is the trigger to sync all changes in the mail folders.
As far as it taking 10 - 20 minutes to get new mail, that does not seem normal. I get new mail on my TP2 before they show up in my inbox on my desk and I have on all the "direct push" phones that I've had. Are there other users on your Exchange server you can compare to? That way you'd know if it were just you or the server.
here's a solution!
after speaking with trusted friends and valued forum members (thanks guys for your input), i've decided to ditch "the message center" (the aforementioned exchange hosting company that gave me that "acceptable email delivery" crap). i opened a newa account with another company that advertises IMMEDIATE email delivery via activesync. wish me luck!
I've been syncing mine with an Exchange 2007 Environment that I setup personally and I have had no problems with my Touch Pro 2. Everything has synced just fine. Make sure you double check all of your settings on your phone and if need be on the Exchange Server itself.
my company uses exchangemymail.com for our email hosting. We have a ton of mailboxes using all sorts of devices. blackberry, wm, iphones. I use tp2 via echange active sync. I get emails near instant. calendar updates are near instant. deleted items needs a new email to trigger syncing as I believe that is the way it just works.
Both my wife and I bought the Infuse yesterday. Mine is a stopgap until the Galaxy S2. We are both having issues with the native mail client.
In my case I use imap and the program does not delete my email when I tell it to, it just comes back. The mail app doesn't seem to have any delete options like k9 and others.
My wife uses the mail app for exchange, with the exception that it does not give a summary in the notification bar(like K9), she is having problems with mail being pushed to her phone. It seems to work sporadically.
I wanted to know if anyone was having any such problem.
not specifically, but i've always had problems with Samsung's email app. i was able to put an older version of a Samsung email app on the phone (the version bundled with the Firefly ROM for the captivate), but the one that came bundled with the Infuse did not work well with my exchange server. i told it to download "headers only", but when i opened a message and click "Load More Details", the body never loaded, just said "null"
also exchange related, whenever i received a message on my old captivate, the notification sound would play, but get cut off halfway through....weird. sometimes it wouldn't even make it halfway through, the sound would only play for a split second, barely noticeable, missed several messages.
Where can I get this mail app?
head over to the captivate development section, download the firefly ROM, it's a zip file, unzip it. goto /system/app and you'll find email.apk
Same problem.
Switched back to K-9 Mail instead.
If you are in the default mail client and you go to incoming server settings there is an option from delete email from server and you can choose an option like "when i delete from inbox", atleast it is for me i have pop mail though.
My sister recent went from a Blackberry to a Thunderbolt. She liked how on the BB she could delete an email off her phone and still keep it on the server and wants to know if it's possible to do this on the Tbolt. She doesn't use gmail. It's a Cox Communications email account. Is it possible to do this on Android?

Stolen from another forum (original post regarded an EVO - but likely applies to all Android OS phones.

Mail accounts use one of 3 protocols: Exchange, IMAP and POP. Both Hotmail (as of a few weeks ago) and Exchange use over-the-air (Active) sync technology so when you delete a message on your phone, it's removed from the server and thus your client program as well (web/Outlook). IMAP also supports a similar 2-way update.
In order to only delete messages off your phone but not the server, you need to set up your mail accounts with POP instead. POP downloads a copy of and sends mail to/from the server -- nothing else. Hotmail supports POP but your Exchange server may or may not (a lot of larger companies policies do not). You'd have to contact the Administrators to find that out.
If they don't allow POP on Exchange, then ask if they can forward a copy of your mail to another public mail service, like Gmail. Then you can add the Gmail account to your phone via POP.
Remember, if you still want to sync your Contacts and Calendar with Exchange, you need to keep those and just uncheck Mail instead of deleting the Exchange account entirely.

My 2c:
Not sure if it will work - I personally just delete on the fly, be damned the server. However, when I had an old LG v11000 (Envy Touch) I had the VZW email service on it - and even if I deleted from the phone, it was sitting on the server when I logged into Gmail. It was set up "POP3" style.
IF you go under mail/menu/more/settings/send & Receive you can check the box that says "delete mail on server" to turn it on or off. I turn it off so that it will leave a copy on the server but remove it from my phone.

I am having the same, or a similar problem. On my PC I use POP3 to access my mail; the ISP recommended using IMAP on the HTC (with different "in" and "out" mailbox settings for the HTC IMAP i.e. on the HTC two different settings for in and out). Was working fine but then found that messages I had received on my HTC were not appearing on my PC when I got home (my PC had been off, usually it is on, syncing every 2 minutes). I think this is because I had deleted them from my HTC in the meantime.
Trouble is, there is no setting ""delete mail on server" to check or uncheck under mail/menu/more/settings/send & receive, so I cannot follow the above advice. Only Mail size limit, Update schedule, Download options (it's not in there), Auto download message, Folder to sync, Reply with original text and Always bcc me.
What am I missing please ? Software says it is Android 2.3.3.
Thanks in advance.
I use K9 mail and go to more/settings/fetching mail/when I delete
I am flummoxed. I changed the HTC settings from IMAP to POP and did some tests; nothing being deleted ie still available on server. But when I looked at "Send and receive" options, I now have a list with 2 new option, inluding ""delete mail on server". It was not there before. Honest !!
I have been bak and re-set the thing to IMAP, and then the option about deleting from the server disappears again. So I am not going mad. But why should the options be different ?
low on memory
My father In-law has a Thunderbolt and is constantly having a low on memory issue on his phone.. When I go and look at his app's, his exchange is hogging up 2.6 gigs of memory while everything else (APPS) is using only KB'S of memory nothing big.. How would I be able to transfer his exchange email to the SD card,, He has a 32 gig card with 26 gigs of it being free.
Thanks for your help.
Hi all
This was a new one for me and i hope its a one off.
I was reading my emails using the undread option across mutiple accounts and once i had read them all and switched back to all mails view all of my mails had gone from the device.
I then exited mail and went back into it and it showed the setup account choices screen.
I checked settings and accounts and they were all still there with a green sync icon but checking the mail app they were not showing as registered.
The only fix i could find was a factory reset.
Has anyone else experienced this and is there a better fix? I have searched the forums and found nothing so far.

This also has happened to me multiple times. I had 2 accounts: exchange for work and pop/smtp for home email. Mail client crashed (do not remember exactly what i was doing) and upon re starting it i was presented with the screen to set up mail accounts.
Checking the Account & Sync in Settings listed both accounts, but the mail client was unaware of them.
First time this happened I simply re-entered account details in the mail client and everything worked.
Second time it happened I could enter the exchange account details but client reported that it could not connect.
This required a factory reset to fix. Called north american support line, they had no record of this problem on file & suggested I use k9 client due to history of mail client issues on other devices. I could not get k9 to work on exchange.
When it happened the third time, I was able to reenter the accounts into the email client again and things worked.
I am now evaluating touchdown mail client for exchange. I use the gmail client for some other accounts and it works fine.
Is anyone else seeing very slow notifications of new gmail messages on their HTC One S?
My HTC Desire also received them within a few seconds, but the One S seems to take up to 15 minutes to get them. I can't find any settings to change, HTC seem to have hidden away any options?
Thanks
I seem to have found my own solution - I have an Exchange account also configured on the device, and I had "Smart Sync" enabled for it.
Changing that to "Push notification" has seemingly moved gmail to push notifications too...
So if i don't have an exchange account I'm likely to have problems with mail coming in slow?
No, I think it's a bug (or "feature") when you configure an Exchange email account, alongside a gmail account.
If you don't configure an Exchange account at all, then Gmail seems to run fine - it's only if I configure Exchange, then select "Smart Sync" as the email collection method, that Gmail also becomes affected by the Smart sync policy.
Since it seems as though you found the solution I'm going to close this. Pm me if you need it reopened.
